Participation Policies
Participation in Rendezvous 2025 requires adherence to all event policies.
They are in place to promote safety, event functionality, and fun for all!

Rendezvous requires participants to obtain informed consent of people with regards to contact with their person, boundaries, and property. This includes, but is not limited to, any physical interaction, photography, video, and audio recording or distribution.
General consent can be communicated in a variety of ways, both verbally and non-verbally, but must be freely given and informative enough for all parties to understand the scope of what may be involved.
For example, if someone consents to a hug, that does not mean that they consent to a kiss, and if they consent to being photographed, that does not mean that they consent to the photograph being distributed on social media.

• Bring everything you need! Take away everything you brought! Dispersed camping is LEAVE NO TRACE CAMPING.
• Pick a site that has been used before, instead of creating a new site. Do not trample small bushes or shrubs to create a campsite. Do not remove or pull out of the ground any living trees or other foliage.
• Keep your vehicle on hardened surfaces and park within 100 feet of roads.
• Keep all food locked up and out of the reach of bears and other animals. This also includes anything with a scent, such as toothpaste, mouthwash, deodorant, scented candles, etc.
THIS IS VERY IMPORTANT AT NIGHT!
Put all such items securely inside your vehicle overnight.• Take all trash to the garbage dumpsters located throughout the camp site every day!
(Pack out large trash like broken tents/ ez-ups, or better yet, strap them down well with strong anchors and straps so they don’t break in the first place!)
• Follow all current fire restrictions, and if campfires are allowed, restrict them to existing fire rings or earthen pits.
DO NOT:Do not camp within ¼ mile of developed campgrounds, trailheads, or picnic areas.
Do not camp or build campfires within 100 feet of lakes, streams, or trails.
Do not build new rock fire rings.
Do not leave food, trash or other debris in the open, where animals and or insects can access it. All food should be stored in airtight containers or sealable plastic bags at all times.
Do not store food or anything with a scent inside your tent. Instead, put it inside your vehicle, ESPECIALLY AT NIGHT!
Do not leave trash, food, or other debris in your camping area when you leave at the end of your stay.
Do not exceed stay limits: In the Medicine Bow National Forest, the maximum stay limit is 16 days in a 30-day period within a 20-mile radius while dispersed camping.

Following the "Leave No Trace" principle means making as little of an impact on Wyoming’s natural spaces as possible.
Follow the adage “Take nothing but photos, leave nothing but footprints.
If you bathe / shower, use biodegradable soap.
Please resist the temptation to take rocks, plants, tree branches, and other things you find in the wild with you.
Pack out everything you bring in, and dispose of trash and waste as follows:
Use the supplied porta-potties for your restroom breaks.
DO NOT put anything in the porta-potties' septic tanks other than toilet paper.
Bag and dispose of smaller trash like food garbage in the two large garbage dumpsters at the entrance of Rendezvous and by Main Camp, or in the trash bins located near each cluster of port-a-potties and dispersed throughout the event site.
You are required to pack out all large trash you may have such as a broken tent or ez-up. -
All recordings made at Rendezvous must be for personal/Rendezvous use and personal/Rendezvous distribution within the guidelines of this policy, unless agreement is made in writing with Rendezvous first for commercial, editorial, or promotional use/distribution.
Rendezvous makes a distinction between two designations of participants when it comes to the recording of visual and audio media: General Participants and designated Media Volunteers.
General participants
May capture photographs, video, or audio at Rendezvous if they obtain informed consent from all identifiable people before recording:
May record people performing at Center Camp.
If any participant has failed to follow these policies, they may be required to relinquish all recorded media to Rendezvous or destroy it, and may result in other sanctions, at the discretion of Rendezvous organizers.

Upon following the Rendezvous policies, in addition to general participant recording privileges, may:Record performers, participants, and events at Main Camp (Provided they are not in a compromised state [e.g. medically])
Operate drones in accordance with the Drone Policy
In order to maintain these privileges and standing as a Media Volunteer, Media Volunteers must:
1. Sign a written agreement with Rendezvous Volunteer Coordination Team or Wyoming Equality Staff that acknowledges the full Media, Consent, and Drone policies in order to participate as Media Volunteers and check in onsite prior to volunteering in this capacity.2. Display Media Volunteer credentials if provided by Rendezvous, on person and/or equipment as required by Rendezvous organizers
3. Coordinate with Rendezvous organisers to provide Rendezvous with recorded media within 60 days of the end of the event.

Dogs must be leashed at all times!
You as a dog owner are responsible – and potentially liable – should your dog get loose and hurt someone or cause damage. If your pet is outside, you should be with them at all times (with the dog leashed and under your control).Unless they are identified, on-duty service animals, DOGS ARE NOT ALLOWED in the Main Camp!
This is for everyone's protection, as well as for crowd control purposes.You must pick up after your dog. Though you may feel this is unnecessary in the wilderness, it is very important – both so another camper does not step in it, as well as for the protection of wildlife, which may get ill from eating your dog's droppings.
Proof of rabies vaccination is required for all animals attending the event!
Tags, paperwork or photographs of either will suffice. We are continuing this requirement

All Remote Controlled Aircraft will be referred to as "drone(s)"
1. Drones are only permitted to be used at Rendezvous by Media Volunteers, regardless of the A/V capabilities of the drone itself.
2. Operators must also abide by all Rendezvous policies including, but not limited to, the Drone, Media, and Consent policies of Rendezvous, as well as AMA, FAA, and USDA rules.
This includes flying with a:
Maximum altitude of 400’
Minimum altitude of 25’ when within 25’ of crowds or structures
Visual line of sight to the drone by operator or spotter
Safe spot to take off, land, and emergency land
100 ft horizontal separation from any active service workers and vehicles onsite (such as EMS, Police, Fire Department, Forest Service, and waste vendor)
Technician, General, or Amateur Extra License if using HAM bands, including 433, 600, 900 MHz, and 1.3 GHz.
3. Drones may not fly during strong winds, from a moving vehicle, or at night without adequate navigation lights as outlined by the AMA.
4. Drone operators assume all liability for harm or damages incurred by operation of their equipment (liability/drone insurance is encouraged)
5. To ensure a level of participant consent/privacy, all footage captured by a drone must be skimmed by a designated Rendezvous volunteer before footage or operator leave the event: the drone operator is responsible for maintaining a powered device for this to be done with. (drone equipment, phone, laptop, etc all work)
6. All portions of footage that may have violated participant privacy must be destroyed upon request by Rendezvous organizers before leaving the site. (Not entire clips, just the portions that may have captured someone in a potentially recognizable manner outside of Main Camp that may be objectionable).
